"Create configuration"
With the referral program we give you the opportunity to easily and relatively inexpensively attract new members to your gym. And it's very simple: If you have activated a configuration for a referral program, every member will find an individual invitation link on MySports in the self-service under "Invite friends", which can be shared with friends and acquaintances. Bookings that come about via a recommendation are then registered in the Magicline. This way you can track which of your members referred which new customers and possibly award rewards as a thank you.
Important for multi-studio operators
Please note that members from Studio A can only refer members from Studio B if the same configuration of your referral program is active in both studios.
Configure referral program
Creating a referral program starts with creating a configuration under Leads / Marketing / Referral program. You can create a new configuration via the "Create configuration" link. Give it an internal name, define the validity period and decide whether you want to exclude certain member groups from participating in the program.
The saved configuration is now displayed in the overview. Clicking on the configuration will take you to the detailed view. Here you can make the exact settings of the referral program.
Define rewards
Here you can create all the rewards that you want to award in the recommendation program. Currently you can create the following three rewards: Bonus period, contribution credit and lump sum credit.
Assign rewards
Now determine which rewards will be credited to the recruiting member and the recruited new member when a certain event occurs. You can assign rewards for the events "Conclusion of contract" and "Booking trial training". You can also define whether the premium credit should be taken over directly or whether you want to check it beforehand. You can optionally specify a minimum period between the event and the award credit. This is particularly useful if there is a cancellation period after the contract has been concluded. This way you can ensure that premiums are not credited before a cancellation period has elapsed. If you select a "1" as the minimum period, the premium will be redeemable on the following day at the earliest, i.e. tomorrow. If you select "2", it will be redeemable the day after tomorrow, and so on. If you select "0", the reward will be credited directly (provided you have selected "credit directly" in the reward crediting field or have accepted the reward request manually). To take into account a cancellation period starting tomorrow, you should enter "15".
Presentation on MySports
Here you enter the description of your referral program for your members. This will be displayed on MySports in the self-service under "Invite friends". Describe as precisely as possible which rewards you will credit for which type of referral. You can store the conditions of participation separately from the description text. If a member shares the personal invitation link from the app, the "Share text" is the pre-filled text of the message that the user can send including the link.
Teaser on MySports
If you want to make your studio members aware of the referral program within MySports, you can activate teasers on your MySports home page. Headline and content are freely definable. Also the position of the teaser: As last element in the content area or as last element in the sidebar on the right. The teaser can also be activated for both positions.
MySports Teaser after booking process
You can create another teaser that will be displayed after a successful booking process of a contract on MySports. This way you can make new customers aware of your referral program.
Follow invitation and use code
To be able to track which new member was referred by which existing member, we have added a new section "Invite friends" within the MySports contract process. There the new member can manually enter the personal referral code of the referring member. If the new member came to the MySports site via the personal invitation link, the field with the code is already pre-filled.
We have also integrated the code entry field into the sales tool. This way, a prospective customer can tell your employee during the sales meeting about any code they may have received for entry.
Reward requests
You can set to review rewards before crediting them or release them directly. If you decide to check them manually, you will see the reward applications under Tasks / Requests / Granting of rewards . For each request, you will see the essential information such as event, date, referrer, and referred person, as well as the defined rewards in the detailed view. Click on "Accept" or "Reject" to decide whether the rewards will be credited or not.
Redeem rewards
Released rewards can be redeemed in the next step by the members on MySports in the self-service under "Invite friends" tab "Rewards". Here we show the member an overview of all previously released rewards. Rewards that have not yet been redeemed can be redeemed by clicking the "Redeem now" button.
Magicline widget "Members recruit members”
In the member view you can find the personal referral code of the member in the widget "Members recruit members". You also have the option to exclude the member from the referral program. If you decide to do so, we will no longer show the member the "Invite friends" section on MySports.
Overview manual add / remove
To give you a better overview of the referral activity of your members, we have added a new overview: Under Members / Member Name / Referral Program you will find a tabular representation of the new customers referred by the member. In a second tab we show by which members the member himself was referred.
Each entry receives information about the awarded rewards, both for the recruiting and the recruited member. Rewards can have the following statuses:
- Approval pending Reward application has been received
- accepted Premium application has been accepted, a possibly set revocation period is not yet over
- rejected Premium application has been rejected
- Redeemable Premium application has been accepted, a possibly set revocation period is over
- redeemed Premium has been redeemed and credited by the member
You can make changes by adding or removing entries. In addition, you will soon be able to add and remove rewards manually.
