Prerequisite
Please note that this feature is exclusively available to our Enterprise customers. It is designed to simplify the management of communication across multiple locations.
Benefits of cross-studio sending
Previously, a separate serial email had to be created for each studio, even if the content was identical. With the new feature, you can create a central email campaign and send it to selected member groups from different studios simultaneously. This not only saves a huge amount of time but also ensures that your communication is consistent across all locations.
Guide: Sending a serial email to multiple studios
1. Create a new serial email
Start as usual by selecting Multi-Studio Serial Emails under Communication / Messages in the main menu and creating a new serial email. Give it a meaningful name, choose a suitable template, and design the content of your message. The template and member list do not need to be created in all studios that contain recipients of the email. For serial messages, please only use templates without "Additional member information". If the template is not listed, check if it is deactivated.
2. Define the target group
You still determine the selection of members you want to reach by creating and using filters in the member lists. This list only needs to exist in one of the selected locations.
3. Select recipients across studios
The most important step takes place in the location selection. Here you will find a new option: you can now select all desired locations at once.
4. Sending and preview
After you have defined your recipients, in the final step, you have to click the SEND button to send the email directly. The preview will show you the estimated number of all recipients across the selected studios.
Viewing and downloading excluded members
Sometimes members are missing from the preview of your serial email, even though they should belong to the target group. This can have the following reasons:
- Invalid email address: The member's email address is marked as "permanently invalid" (e.g., due to bounces).
- Missing consent: The member has not consented to the communication category of the email template (e.g., "Marketing" or "Newsletter").
- Deactivated member: The member is inactive or blocked in the software.
Previously, it was not clear which members were excluded and why. With the new feature, you get a transparent overview to quickly identify and resolve issues.
How to download the list of excluded members:
-
Open serial email:
Go to: Marketing → Serial Emails.
- Select an existing serial email from the list (or create a new one).
- Click "Preview" to check the recipient list.
-
Show excluded members:
If members are missing in the preview, a button with the number of excluded members will appear in the top right (e.g., "Excluded Members (12)").

-
Download Excel file:
Click the button. The file will be automatically generated and downloaded. It contains the following columns:
Column Example Description Member number 1000456 Unique identification number of the member. First name Anna Member's first name. Last name Müller Member's last name. Reason for exclusion "No consent for category 'Marketing'" Specific reason why the member was not included. -
Check data and take action:
Open the Excel file and analyze the exclusion reasons. Typical solutions:
- Missing consent: Adjust the communication category of the email template or obtain the member's consent afterward.
- Invalid email: Update the member's email address in their profile or contact the member directly.
Possible exclusion reasons:
In the Excel file, you will find various reasons for exclusion. Here are the most common:
| Exclusion Reason | Description | Solution |
|---|---|---|
| "Permanently invalid email address" | The member's email address is undeliverable (e.g., due to bounces). | Update the email address in the member's profile or contact the member by phone. |
| "No consent for category [X]" | The member has not consented to the communication category of the template (e.g., "Marketing"). | Change the category of the email template or obtain consent afterward (e.g., via opt-in campaign). |
| "Member inactive" | The member is deactivated or terminated. | Check if the member should be reactivated. |
| "No valid email address" | The member is missing an email address in their profile. | Add a valid email address to the member's profile. |
Frequently Asked Questions
Why are all members missing from the preview of my serial email?
This can happen if:
- The communication category of the template does not match the members' consents (e.g., all members have only consented to "System Emails," but the template has the category "Marketing").
- The target group of the serial email is filtered too strictly (e.g., by studio or membership type).
Download the list of excluded members to check the exact reason.
Can I still contact the excluded members?
Yes, but not via the serial email. Alternatives:
- Manual email: Use the "Email to Member" function in the member profile.
- SMS or push notification: If the member has consented to other communication channels.
- By phone: Contact the member directly.
How often is the list of excluded members updated?
The list is generated in real time as soon as you click the "Excluded Members" button. It always contains the current status at the time of download.
Can I see the exclusion reasons directly in the software without downloading the Excel file?
No. The detailed reasons are only available in the downloaded Excel file. In the preview, you only see the number of excluded members.
