Shipping Centre
The Shipping Centre provides information about the current status of your messages to customers. It is divided into five categories:
- Drafts: Messages that have not been sent yet
- Outbox: Messages waiting to be sent
- Sent: Information on sent messages
- Archive: Archived messages are stored here
- Errors: Undeliverable messages appear here
You can retrieve and manage messages in each category.
Returns
If a letter is returned as undeliverable, you can record and track it here.
Functions:
- Scan returned mail: For high mail volumes, the “Return Barcode in Letterhead” function can be activated. This allows automatic recording of returned letters by scanning.
- Manual entry: Search for the affected customer manually and mark the returned letter in the customer history.
All returns are digitally archived with the date and return reason.
Messages
To send bulk messages such as newsletters or birthday greetings, you can use the “Bulk Messages” section. These can be sent across all channels.
A dunning run is also considered a bulk message and is automatically created and assigned by the system.
Process:
- Select the communication medium.
- Set a title for the message.
- Select recipient lists.
- Choose a template.
- Generate and review messages.

Management
In the “Management” section, you will find three key subsections:

- The system distinguishes between system templates (for system actions) and custom templates (messages you create).

Notification Rules:
- Link-specific events (e.g. “blocking period added”) to a message template. The system then automatically sends an appropriate notification.

Here, you can upload and manage your templates. Customise your communication to match your branding and create designs for special occasions.
In the “Designs” section, you can upload your email and letter designs. Use your brand colours and creative templates for special occasions.
