What is the accounting configuration?
The new accounting configuration lets you manage posting accounts and rules centrally and apply them across multiple studios within a tenant. The goal is to make changes transparent and easier to track. It replaces the previous manual copy process with an automated, traceable solution.
What features does it offer?
- Create a new configuration: choose between SKR03 and SKR04, or base it on an existing configuration.
- Cross-facility activation: share accounting rules and accounts across multiple studios.
- Account and rule management: define individual posting accounts and related booking rules.
- Copy function: transfer account structures and rules from an existing setup.
- Activation lock: once activated, a configuration can no longer be edited.
How does activation work?
- Plan the configuration: create it and set an activation date.
- Preview: review the planned configuration before activation.
- One active at a time: only one configuration can be active per studio.
What the change history shows
The change history documents every modification for full transparency:
- Date and time of the change
- User who made the change
- Details of the changed rules or accounts
You find it on the Change history tab of the configuration detail.
Step-by-step: initial setup
Navigate to Settings / Finance / Accounting configuration. There you find the migrated configurations per studio, or the option to create a new one.
Create a new configuration
- Click Create accounting configuration
- Assign a name for clarity
- Select the account structure: SKR03 or SKR04
- Optional: copy from an existing configuration
- Optional: add a booking code configuration
Select the locations that should have access to the configuration.
Edit accounts and rules, and use the search bar to navigate efficiently. The configuration detail has these tabs: Posting accounts, Booking rules, Change history and Activation history.
- Create both expense and revenue accounts
- Edit account numbers and names as needed
- Link rules with booking codes on the Booking rules tab (see the separate article)
Change history tracks all edits with timestamps and users. Activation history shows the activation status per studio.
- Click Activate via the 3-dot menu
- Select locations and an activation date (for example, the first of the month)
- Confirm the safety prompt when overriding existing plans
A badge Activated in this studio confirms where the configuration is in use. The whitelisting badge shows other studios with access, and the history section provides a central overview.
