Quick Guide
- Go to Members / member name / Finance / Account.
- Open the action menu of the receivable and select Change due date.
- Select the New due date and click Confirm.
- If Change due date is not offered, check the prerequisites below: the receivable may already be reduced or linked to another entry, or its due date may be in the past.
Prerequisites for adjusting the due date
You can only change the due date of an individual receivable when all of the following conditions are met:
- The current due date is not in the past. A due date of today can still be changed.
- The receivable is not yet linked to any other entry, for example a manual reduction.
- The receivable is not in debt collection.
- The receivable type supports a due date change. The action is not offered for every type of entry.
- Permission: your role includes the permission Adjust due dates (category Member management / Contracts & Services).
If all conditions are met, the action Change due date is available for the receivable.
Changing the due date
- Go to Members / member name / Finance / Account.
- In the list of entries, open the action menu of the receivable you want to change.
- Select Change due date. The Change due date window opens.
- In the New due date field, select the new date. You cannot select a date in the past.
- Click Confirm.
The receivable now shows the new due date in the account.
Why a manual reduction prevents adjustment
As soon as you manually reduce the price of a receivable, this reduction is recorded in the system as a separate but linked entry. Your original receivable is therefore linked to this reduction.
This means the second prerequisite (the receivable is not yet linked to any other entry) is no longer met. For this reason, the system no longer offers Change due date for this receivable.
If you reverse the reduction, the receivable can be changed again, provided that all other prerequisites are still met.
Accounting reasons for the restriction
This restriction has important accounting and logical reasons:
- Prevention of date conflicts: If you could change the due date of an already linked receivable, there would be a risk of the new due date being before the date of the link (in this case, the date of the reduction). This would lead to an illogical and incorrect accounting sequence of business transactions.
- Completed business transactions: If the due date is already in the past, the receivable has already been recorded in the accounts for the corresponding period. A subsequent change would affect closed periods and is therefore not permitted.
This ensures that your accounting always remains correct and traceable.
