- Click on Create Balancing run in the upper right corner.
- Fill in the required fields and click Create Preview.
- Then prepare and post the balancing run.
Why create a balancing run?
A balancing run is a payment run, but no data is sent to the bank. The open receivables are only booked out. This is necessary, for example, when receivables are still being processed in a legacy system and a payment run is sent to the bank there. The receivables are then settled there, but still open in the software.
To avoid having to perform a complete import of the data again, the receivables can be booked out with the balancing run.
Create a balancing run
Permission: Balancing run.
Go to Settings / Data transfer / Balancing runs and click on Create Balancing run in the upper right corner. Select the location, if necessary, and specify which receivables are to be taken into account and on which date the posting is to be made. Also specify a payment run group. Finally, click on Create Preview. Depending on the volume of postings, the preview compilation may take some time.
Once the calculation of the receivables is complete, the status in the overview changes to Preview.
Prepare a balancing run
Click on the balancing run and check the data. Up to this point, the balancing run can still be deleted: Three-dot menu / Delete.
If everything is ok, click on the three-dot menu on the right and select Prepare balancing run, then confirm the confirmation prompt.
After preparation, the balancing run will be listed with status Open.
Post the balancing run
Click on the balancing run and check the data. If everything is ok, click on the three-dot menu on the right and select Post balancing run, then confirm by clicking Start posting in the dialog. Note: the system's history log records this action internally as book (lowercase, as literally shown in the log). This is simply the underlying term used in the log entry; the button and dialog text you actually interact with are Post balancing run and Start posting.
The balancing run will then be executed and the open receivables will be posted as settled. The status in the overview will be adjusted accordingly.
