Quick Guide
- Go to Settings / Finance / Payment runs and open the configuration that is activated in your studio.
- In the Debt claim types card, open the card menu and select Edit Debt claim types.
- Select the claim types in the groups Fees, Charges and Other receivables and click Save.
- Optional: Go to Settings / Finance / Payment run groups, open the three-dot menu of a group, select Edit types of receivables and set the claim types for this group.
Claim types in the payment run configuration
The payment run configuration defines which claim types a payment run collects by default. You find the configurations under Settings / Finance / Payment runs. In the navigation bar, Settings is in the More menu. The list shows which configuration is Activated in this studio.
- Go to Settings / Finance / Payment runs.
- Open the configuration by clicking its row.
- Scroll to the Debt claim types card at the bottom of the page. The card shows Yes or No for each claim type.
- Open the card menu and select Edit Debt claim types.
- Select the claim types you want to collect. The checkbox next to a group selects or clears all claim types of that group.
- Click Save.
The claim types are arranged in three groups:
- Fees: for example Contract fee, Start package fee, Flat fee, Freeze period fee and Trial period fee.
- Charges: for example Return debit charge, Dunning fee, Cancellation fee, Service charge and Replacement card charge.
- Other receivables: for example Manually created claim, Compensation for damages and No show fee.
At least one claim type must be selected in the configuration.
Claim types for a payment run group
For a payment run group, you can define its own claim types. They are used when this group is collected via a payment run.
- Go to Settings / Finance / Payment run groups.
- Hover over the row of the group and click the three-dot menu.
- Select Edit types of receivables. The Name of the group is shown but cannot be changed here.
- Select the claim types for this group in the groups Fees, Charges and Other receivables.
- Click Save.
How the two settings work together
- If a payment run group has its own selection of claim types, the payment run uses this selection for the group instead of the payment run configuration. The setting applies only to this group.
- If all claim types are selected for a payment run group, the group has no selection of its own. The payment run then uses the claim types of the configuration that is activated in the studio.
- The claim types are applied when a payment run or a payment run template is created. Later changes do not affect payment runs or templates that already exist.
Relation to studios, members and contracts
The payment run configuration does not apply system-wide. A payment run uses the configuration that is activated in the studio of the payment run.
The claim types of a payment run group are set on the group, not on an individual member or contract. They take effect for all members and contracts that are assigned to this payment run group when the group is collected via a payment run.
