What are Check-in Discounts and what prerequisites must be met for this function?
Check-in discounts provide members with a discount for the time they are checked in. These discounts are applied to the fees derived from the rate. If the member is checked in longer than the specified time, the discount is applied to the next eligible period and is granted only once per day when the specified check-in time is reached.
For these discounts to be calculated and applied correctly, the automatic check-out time must be configured correctly (i.e., either disabled or set to be greater than the check-in time for the discount). The anonymization of check-in logs must also not be activated.
Creating a Check-in Discount
To create a new check-in discount, go to Settings / Member Management / Check-in Discounts and click on Create New Discount Configuration.
In the next window, enter the name of the discount configuration, define the discount amount, and the minimum training time.
If necessary, enable the options Apply Check-in Discounts to Contract Extensions and Exclude Members in the Dunning Process. Then click Save.
Editing a Check-in Discount
To edit an existing check-in discount, go to the list of discount configurations, select the desired configuration, and click Edit. Here you can adjust the discount parameters such as the discount amount, minimum training time, and other settings. Save the changes to update the configuration. Previous credits remain unaffected.
Assigning Rates for Check-in Discounts
After creating a check-in discount, you must assign the configuration to the appropriate rates. To do this, go to the Rate Assignment tab, select the desired rate, duration, and payment method, click Add, save the settings, or add more rates/durations.
Changelog
You can view changes to such settings in the Changelog tab.
Removing a Check-in Discount from a Member
To remove a check-in discount from a member's contract, go to the member's profile in the Contract Widget, click on the three dots next to the active contract that has the discount (you can recognize it by the blue door icon) and click Remove Check-in Discount. Confirm the action to permanently remove the configuration. Note that already issued credits will remain.
Deactivating and activating a Check-in Discount
You can temporarily deactivate a check-in discount by selecting the option Deactivate Check-in Discount. Choose the desired date for deactivation and confirm the action.
The assignment of the discount configuration remains on the contract, but paused contracts cannot generate check-in discounts.
Do you want to activate the check-in discount configuration for this contract? Click on Activate Check-in Discount and set the date for activation.
The assigned discount configuration will be activated, and the member will be able to generate check-in discounts again from the activation date.
How to handle already given discounts to the rate
Already given discounts based on the check-in discount are displayed in the member account as credit bookings. These credit bookings can be cancelled - by a user with appropriate rights - to cancel the initial booking of this credit. To add a check-in discount - e.g. the user wasn’t checked-in properly (maybe forgot his access card) - a studio employee can manually create a credit booking (the rights to do so have to be assigned to the employee).
Additional Options and Notes
The discount is granted after each training session that lasts longer than the set training time, with a maximum of one discount per day. The training time per visit is logged in the system.
The total discount is calculated and processed during the payment processing in the following month. A member must have paid at least one full month before the discount is applied, except for special promotions.
The discount remains active for the entire contract duration, even if switched to a flexible contract. Once a member is handed over to a collection agency, the discount is deactivated.
The maximum discount amount is equal to the membership fee.
The discount is displayed in the Sales Tool and also in the Magicline App.
To see which members have a check-in discount, we provide filters in the member filter lists. There you can filter both by status (whether there is a discount or not) and by the discount amount.
