Value vouchers vs. member vouchers
Value vouchers: A value voucher can only be created with a fixed value, that is a fixed amount of money. A voucher code is generated automatically when the value voucher is created. This type of voucher can also be given to someone who is not yet a member of the studio. Value vouchers are redeemed at the cash register and the amount is credited, but it is not assigned to a specific membership fee. The amount can therefore be used, for example, to buy point-of-sale items.
Member vouchers: Member vouchers are created primarily for existing members, but they can also be used for a member when a new membership is signed. They are created either with a fixed amount of money or with a discount in percent that applies to the membership fees. A key difference from the value voucher is that the conditions can be edited. In particular, on the voucher's Conditions tab you set the release channels that control where the code may be redeemed, for example the cash register, the sales applications or the Member Platform.
Create a member voucher
Under Finance / Vouchers / Member vouchers you will find an overview with three tabs: Credit, Discount and Rate.
- On the Credit tab you create a voucher that contains a fixed amount.
- On the Discount tab you create a voucher that contains a discount in percent.
- On the Rate tab you create a rate-related discount as a fixed amount. When creating the voucher you directly select the rate you want to discount.
For all three options you choose the voucher code label yourself, it is not generated automatically.
On each of the three tabs you create a new member voucher with the Create Member vouchers button. In the window that opens you set the facility scope via Edit sharing settings, as well as the internal names and labels and the external names and labels. In the next step you choose the code that redeems the voucher, and you can set the validity period here as well.
As soon as the process is finished, the voucher appears in the overview. You can click it at any time to open its detail view, where you edit the settings in the Configuration area and see the voucher code, its Count and how many have been redeemed.
Please note that some settings can no longer be changed once the voucher code has been used. Make sure that all settings are correct before you use the new code.
Voucher contingent
Once you have created the voucher, all voucher settings exist, but there is not yet a contingent. Vouchers always need a contingent in order to work. Open the voucher under Finance / Vouchers / Member vouchers and click Provide vouchers to add a contingent by entering a Count.
In the voucher overview and on the voucher detail you can see the contingent at any time: the Count that has been provided and how many vouchers have already been Redeemed.
Important: Once the contingent is used up, the voucher code no longer works. In this case a new contingent must be provided. There is currently no option to create a voucher without a contingent.
Example: using a member voucher
Suppose you want to let new customers save 10% when they sign a membership online themselves instead of registering at your studio.
In this case you go to Finance / Vouchers / Member vouchers and open the Discount tab to create a new member voucher. You enter 10% as the discount. You could name your code, for example, WELCOME10. You can also set whether the 10% discount applies to the initial term or for all time. Make sure that the fields for external information in particular are filled in correctly, because that is what your customers will see later.
When you have finished the process, the new member voucher appears in the overview. Open it and go to the Conditions tab, where you set the release channels that control where the code may be redeemed: Sales Tool, Member management, Cash register sales, MySports, Connect API and Open API. For this example, make sure the channels your customers use to sign up online are enabled.
Next, still on the voucher, click Provide vouchers and enter a contingent (Count). Enter a realistic number here so that the contingent is not used up on the first day and the code stops working.
Your customers can now enter the discount code WELCOME10 online when signing a contract. They receive a 10% discount on their membership, and you can track in Finance how often the code has been redeemed.
