- Go to the freeze period configuration area in your settings.
- Open the new widget 'Freeze Period Contributions'.
- Set a Standard freeze period fee. This is a mandatory field.
- For contract freeze periods: Activate the checkbox 'Dynamic calculation of the freeze period fee' and enter a percentage.
- For member freeze periods: Activate the checkbox 'Calculate freeze period fee based on the length of the freeze period' and enter a fee.
- Click on SAVE.
About the new calculation methods for freeze period contributions
You now have the option to configure freeze period contributions in two new ways: dynamically as a percentage of the membership fee or as a fixed amount based on the duration of the freeze period. This gives you more flexibility in designing your freeze periods. With this function, you can design the fees for freeze periods more precisely and flexibly. Instead of just a fixed amount, you can now adapt the calculation to the contract or the duration. There are two central new calculation methods:
- Dynamic, percentage-based calculation: Ideal for contract freeze periods. Here, the freeze period fee is calculated as a percentage of the regular contribution.
- Time-based calculation: Perfect for member freeze periods. Here, a fee you define is calculated per time unit (e.g., per week).
If you do not set up any of these dynamic calculations, the standard freeze period fee you configured will be used automatically.
Understanding the new 'Freeze Period Contributions' widget
For the configuration of freeze period fees, there is a new widget called 'Freeze Period Contributions'. Here you define all standard fees for freeze periods.
You will find the following settings here:
- Standard freeze period fee: This is a mandatory field. The value entered here is always used when none of the more specific calculations (dynamic or time-based) apply.
- Contract freeze periods: Here you activate the dynamic, percentage-based calculation for freeze periods that relate to the entire contract.
- Member freeze periods: Here you activate the calculation based on the length of the freeze period.
Option 1: Dynamic calculation for contract freeze periods
This option allows you to charge a percentage of the recurring contract contribution as an freeze period fee. This fee replaces the normal membership fee during the freeze period.
Example:
The membership fee is €50.00 per month, and you set a dynamic freeze period fee of 10%.
The freeze period fee will then be €5.00 per month.
This amount is charged to the member for each contribution period within the freeze period.
Option 2: Time-based calculation for member freeze periods
This setting is suitable for freeze periods that are granted individually to members. The fee is calculated based on a time unit defined by you.
The Standard time unit (e.g., weekly) is taken from your global settings for time units and cannot be changed here. You only define the freeze period fee to be charged per this time unit.
Example:
Your standard time unit is 'Weekly' and you set an freeze period fee of €10.00. A member takes an freeze period of 3 weeks.
The total fee due for the freeze period is €30.00 (3 weeks x €10.00).
How the contributions are displayed in the member history
In the member history, you can always see how an freeze period contribution was calculated. The type of calculation is displayed there directly:
- Contribution-free freeze period: The freeze period contribution is €0.00.
- Dynamic calculation: The percentage (e.g., 5.00%) is displayed as the freeze period contribution.
- Time-based member freeze period: The calculated total amount (e.g., €20.00) is displayed.
- Standard freeze period contribution: The calculation method is shown as 'one-time' and the standard amount is due.
