In this article, you will learn how to set up your Freeze period configuration in your Software and which options are available to you in the individual widgets.

Fast lane
- Go to Settings / Member Management / Freeze Period Configuration.
- Select the desired configuration (e.g. “Standard”).
- For each widget, open the three-dot menu and select the appropriate edit action (e.g. “Edit time units”).
- Save your changes (e.g. via SAVE ACROSS LOCATIONS in the dialog).
Open and select Freeze period configuration
You can find the Freeze period configuration under Settings / Member Management / Freeze Period Configuration. There you will see a list of your configurations (e.g. “Basic” and “Standard”) and you can open a configuration by clicking on it.
If you manage multiple locations, pay attention to the location selection at the top right (e.g. “Current Location”) to ensure you are working in the correct context.
Create Freeze period configuration
Use CREATE Freeze PERIOD CONFIGURATION to create a new configuration. Use multiple configurations if you need different rules (e.g. different limits or fees for each use case).
Various tariffs can have different durations and you might want to use different Freeze period options for them? For example, members with a 12-month term get more Freeze periods than those with a 6-month term. In this case, you can create several configurations that reflect this and assign them appropriately when creating the tariff.
Tip: Give your configurations unique names so your team can assign them correctly later on.
Set time units
In the Time Units widget, you define the basic logic of the units in which Freeze periods are counted and limited. To do this, open the three-dot menu and select Edit time units.
You will see the following settings in the configuration:
- Reference period (e.g. “Contract year”): Determines the period to which the counting/limitation refers.
- Default time unit for Freeze periods (e.g. “Month(s)”): The base unit for Freeze periods.
- Number of time units in the reference period: Limit how many units are possible within the reference period (in the dialog, e.g. via “Limit number of time units”).
- Number of time units per application: Limit how many units a single application may contain.
- Number of consecutive time units: Limit how many units can be taken directly in a row.
- Start date (e.g. “Only next possible start date”): Controls how the start date of a Freeze period may be set.
- Application deadline (e.g. “5 day(s)”): Defines a deadline logic around the application process.
- Maximum advance application period (e.g. “12 months”): Limits how far in advance a Freeze period can be applied for.
Save changes in the dialog via SAVE ACROSS LOCATIONS (or close with C saving).
Configure selectable Freeze period reasons
In the Selectable Freeze Period Reasons widget, you control which Freeze period reasons can be selected per channel. In the overview, you will see separate areas such as your Software, Selfservice and Open API (e.g. each “All”).
Note: You manage the reasons themselves under Settings / Member Management / Freeze Period Reasons.
Configuration for contract Freeze periods
In the Configuration for Contract Freeze Periods widget, you set how Freeze periods affect contracts. Open the three-dot menu in the widget to edit the settings.
Apply Freeze period to additional modules and Apply Freeze period to flat rates
- If you activate these options, Freeze periods will also apply to additional modules or flat rates (visible as checkboxes in the interface).
Calculation of proportional fees
Here you choose how membership fees are calculated when there is a Freeze period in the contract. In the selection you will see Dynamic, Proportional and Full.
- Full: The logic follows the fixed payment plan with a defined standard due date; the standard due date remains unchanged.
- Proportional: Fees are calculated proportionally before and after the Freeze period, the standard due date remains unchanged.Dynamic: The system automatically chooses between Full and Proportional depending on the payment interval.
Configure Freeze period fees
In the Freeze Period Fees widget, you define whether and how fees for Freeze periods are calculated. To do this, open the three-dot menu in the widget and select Edit Freeze period fees.
Standard Freeze period fee
- Here you set a standard amount (e.g. 0.00 €).
- Optionally, you can add different prices for each location via Add location price.
Contract Freeze periods
- Activate Contract Freeze periods if the fee logic should apply to contract Freeze periods.
- Under Calculation of Freeze period fee you select the calculation method (e.g. Percentage based on the payment interval).
- Depending on the selection, you enter the value below (e.g. 5.0 %).
- Note in the mask: For dynamic calculation, the Freeze period fee is calculated as a percentage of the recurring payment interval of the contract.
Member Freeze periods
- Activate Member Freeze periods if you want to charge fees for member Freeze periods.
- The Standard time unit is displayed (e.g. Monthly).
- Under Freeze period fee you enter the amount (e.g. 5.00 €). The field is required if member Freeze periods are active.
- Note in the mask: For each assigned time unit for member Freeze periods, a Freeze period fee in the specified amount will be charged.
Save your changes via SAVE or close without changes via CANCEL.
Further options
In the Further Options widget, you will find additional switches and default values that influence the behavior of Freeze periods. In your interface, the following items are visible, among others:
- Freeze period type (e.g. “Contribution-free Freeze period with contract extension”)
- Default MySports Member Platform Freeze period type (e.g. “Member Freeze period”)
- Access Idleriction (e.g. “Yes”)
- Postpone contract end of extraordinarily terminated contracts (e.g. “No”)
If you make changes here, work as in the other widgets via the three-dot menu and then save.
Use history
In the detail view of a Freeze period configuration, you can switch between Configuration and History. Use History to track changes to the configuration (e.g. who made which adjustment and when).
