Prerequisites
To use Configuration planning, you need the following permission under Resources / Employees / Roles:
-
Manage offer configuration planning (path: Settings > Membership signing)
- Create: only possible if you also have edit rights for offer configurations
- View: see configuration planning in settings
- Edit: modify configuration plans
- Delete: remove configuration plans
Use cases
Configuration planning is useful for any scenario where an offer should run only for a specific time period — without anyone manually switching it on the cutover date:
- Studio openings with a time-limited launch offer
- Seasonal campaigns like summer, Black Friday or New Year promotions
- Temporary closures or renovation phases
- Regional promotions across studio chains
Configuration path
Settings / Membership signing / Configuration planning
The overview is split into two tabs:
- Planned: all running and upcoming configuration plans
- Past: all expired plans for traceability
Both tables share the same columns: Name, Period, Next, Channel and Facilities. Use the context menu in a row to edit or delete a plan. Use Filter, Columns and Sort in the top right to adjust the view.
Create a configuration plan
- Click Add configuration planning in the top right.
- In the Edit sharing settings banner, select the facility or facilities the plan should apply to.
- Define the following fields:
- Channel: target platform of the configuration. Available options are Studio pages & Connect-API, Open API, MySports and Sales Tool.
- Name: select the offer configuration that should be active during the planned period on the selected channel.
- Start date / End date: defines the time period in which the configuration runs.
- Follow-up offer configuration: since one offer configuration must always be active per channel, specify the configuration that takes over automatically once the planned period ends.
- Save the plan. The system handles the transition automatically at the start and end dates.
Validation and conflicts
To ensure that exactly one configuration is active per channel at any time, the system automatically checks for overlaps:
-
Period already booked: if a plan already exists for the same period and facility, the system blocks the new plan with this message:
An offer configuration is already planned for this period. Adjust the planned period of offer configuration or the whitelisting for the locations to plan this offer configuration.
-
Manual activation during an active plan: while a planned configuration is running, you can't manually set other configurations for the same channel to active. Instead, you'll see this notice:
The offer configuration can't be activated because the planned offer configuration XYZ is active. Adjust the planned period of the offer configuration 123 or the whitelisting for the locations in order to activate this offer configuration.
- Continuous coverage: at least one configuration is always active per channel. That's why the follow-up offer configuration is a required field — it closes the gap after the end date.
Display in the offer configuration overview
In the offer configuration overview, you can see at a glance which configuration is driven by a plan:
- An indicator shows which configuration is currently active. As a plan switches state, the indicator updates accordingly.
- A Time-limited label marks configurations that are running through a plan.
These hints are visible to anyone who has read access to offer configurations — regardless of whether they can create plans themselves.
Past plans
In the Past tab, you'll find all expired configuration plans for traceability. Name, period, follow-up configuration, channel and facilities remain documented there.
