The new prospect communication
The new leads management system ensures that you never lose sight of your current prospects, increasing your member acquisition success rate. Functions such as initial contact planning, and later in the process, detailed contact documentation, help you to optimally align the process of prospect acquisition. Find out exactly how the new prospect communication works and, how to get the most out of it, in this article.
Structure of the new leads view
You can access the new leads communication by clicking on the list icon at the top of the leads management screen, next to the search. To the right of the buttons for switching between the new and previous interest overview, you will find a selection field for filtering the displayed interests by assigned employee. For example, you can display only the prospects assigned to you.
Another special feature is that all prospects - except for new ones - are always assigned a next contact time. Thus, the new prospect communication pushes the active management of prospects and prevents prospects from being "forgotten". According to this logic, we have divided the list display into the following tabs:
- All - all prospects, sorted by the next scheduled contact time.
- New - new prospects that do not yet have a scheduled contact time. Here the sorting is done by default according to the date of receipt. New prospects have a blue marking 🔵, the status "unseen" is indicated via the marking "New
- Today - prospects due to be contacted today as scheduled. Interested parties due today have a yellow marker 🟡
- Overdue - prospects who should have been contacted at a past date. Overdue prospects therefore have a red mark 🔴
- Planned - prospects, with a planned contact date in the future. Planned contacts are marked in green 🟢.
Basically, it is recommended to contact all new prospects as soon as possible. If you do not make the contact directly, it makes sense to plan an initial contact for new prospects. You will learn how to do this in the next section.
Detail view of a prospect
To get to the detailed view of a prospect, simply click on the respective line. Clicking on the name will take you to the member profile.
On the left side of the detail view you will find general information about the interested party, which you can also edit here. The right side of the detail view is mainly used for contact documentation and planning.
Contact planning: The line for contact planning is colored in the respective color of the status. Click on "Plan now" to plan a first contact or "Change" to change an already planned contact. A dialog opens where you can set the next contact time. You can now choose a day and optionally set a time or a time interval (e.g. if the prospect is only available at certain times). You can also select a contact template for the next contact, so that it is already preselected for the next contact documentation. You can also optionally change the assigned employee and the process phase.
Contact documentation: Below the contact planning you will find the contact documentation area. Here you can record all important information in the context of your contact with the prospect in the free text field "Notes". In addition, you can select predefined contact templates with interview guides and to-do lists (you can find out how to configure these below). To complete the contact documentation click on "Save". If you did not reach the prospect, click on "Not reached". Following the "next contact" principle, the dialog for planning the next contact will appear here as well. So set the desired values and click on "Save" again.
The respective information will be saved as an entry in the history of the prospect. Your notes and unfinished ToDo's are displayed here, so that you can refer to this information the next time you make contact.
Configure contact templates
Contact templates are used to structure the contact process and provide your employees with an interview guide and to-do's. To configure your contact templates, please go to Prospects/Configuration/Contact Templates . Then click on "Create Contact Template" in the upper right corner.
Then give it a name, create the interview guide, and add ToDo's.
Once you have saved the contact template, you can activate it in the contact template overview using the three-dot menu.
