In this article, you will see: How to edit/create membership fee adjustment rules.
Quick Guide :
- Settings / Membership Management / Rates / Choose the relevant rate
- Click on the 3 dots of the price line to change.
- Click on Edit Membership fee adjustment rules.
- Add one or more membership fee adjustment rules.
In the life of a contract, it is rare that the price remains unchanged until the end of the contract. This is especially true in the fitness industry. Between promotional offers, rate changes or even in response to inflation, a member's contract evolves over time. Magicline allows you to simply adjust your rates to meet this need.
Add a Membership fee adjustment rule to a rate
By adding a contribution rule to a rate, all future members who choose this rate will be affected by the price change during the contract.
To add a rule, first go to the rate. (Settings / Membership management / Rates). Once in it, click on the 3 dots of the price line to change. Then Edit Membership fee Adjustment Rules.
A window will open. This is where you will add a membership fee adjustment rule. Note that you can add as many rules as you want. For example, if you want a price change after 1 month, then 3 months, then 6 months... it is possible to set up.
- Reference date: You can make the price change at a specific date, for example on January 1st.
- Membership extension: Once the initial contract period is over, the renewal will be at the new defined price.
- Period: Here, you can choose between changing the price after XX days, weeks, months, years.
Once the time frame is defined, choose the type of adjustment:
- Recurring adjustment: At each *temporality selected*, your price will be adjusted by XX €. Using the example of “Reference date”. I want that at every 1st of January the price increase by 3%.
- One-time adjustment: The price will increase only once according to the time frame.
Finally, set the desired new price via:
- Percentage adjustment: You define by how many percent your price should increase.
- Absolute adjustment: The price increases after *time* by the amount defined here.
- New basic amount: You define the new contract amount directly.
Please note that for recurring adjustments, the option “New base amount” is not possible.
The checkbox Apply adjustment in current service period allows you to create a prorata on the start of this price change. For example, after 1 month, the price increases by 20€. Your customer signs his contract on the 15th of the month. So, from the 16th to the 30th of the next month, a prorata of the 20€ increase will be calculated. The total increase will be applied on the 1st of the next full month. Without checking this box, the 20€ increase will only take place at the beginning of the next full month.
In the example below, the contract has a duration of 12 months, the rate will increase by 10€ only once after 3 months.
In order not to affect all your members, you can adjust the contributions individually on a member. To do this, go to the member's file. In the square active memberships, click on the 3 dots at the end of the line of the membership you want to modify, then click on Fee adjustments. Here are 4 possibilities:
- Display fee adjustments
- Add membership fee adjustments
- End fee adjustments
- Reverse dynamic price adjustments
The only difference here is that you can set a start of term, then choose an valid until if the increase is temporary or unlimited if the price change is undefined. Also, at the bottom is a preview of future expirations based on what you have set up.
Important: If you ever need to adjust the contributions of several members, it is possible to create a bulk operation, Membership fee adjustments. For more details, see our help center article on bulk operations.
View in the sales tool
When you have a contract signed containing a contribution adjustment, the price change is shown in the summary view and then on the final preview where signatures are required. If you upload a contract preview, the adjustment will also be mentioned. And if you have an overview of the contributions, you will see the increase.
