Introduction
Before you can use direct debit as a payment method, ensure that the member is registered as a direct debit payer in the system. This includes an active SEPA mandate, which is stored in the Payment Methods tile in the member overview. This is a necessary prerequisite to be able to debit the amount directly from the member's account.
Step-by-Step: Paying for Sales via Direct Debit
- Go to your Sales section.
- Select the personal training or service and the member to whom something is being sold.
- Click Sell Now and select the payment method Direct Debit.
- A pop-up window will appear. Click Confirm Payment.
- You can now collect the claim in the next payment run.
Solutions if the Payment was Already Processed as "Pay Later"
1. Method
- Go to the Member Overview / Finances / Account of the relevant member.
- Find the corresponding outstanding claim.
- Click on the three-dot menu (⋮) in the row to the right, next to the claim.
- Select Lock/Unlock Claim and unlock the claim for the payment run.
- You can now collect the claim in the next payment run.
2. Method
- Go to the Sales section.
- Search for the member in the cart field. The outstanding claim that was processed as "pay later" should now appear in the cart under pay later.
- Select the corresponding claim and click release for direct debit run.
- The claim is no longer visible in the sales list.
- In the next step, you can collect the claim in the next payment run.
Prerequisites for Direct Debit
Once you select a member in the sales menu, they can pay by direct debit, provided the following prerequisites are met:
- The person must be registered as a member in the system.
- The payment method in the member file is set to Direct Debit. You can set this payment method under Members / Member Overview / Account Balance / Payment Method.
- The member has a valid SEPA mandate and a valid bank account.
- A valid address is stored in the member data.
View in the Member Account
The claims generated by the sale appear in the Member Overview / Finances / Account and are listed there as outstanding claims, which are automatically debited and booked in the next direct debit run. If the direct debit was successful, the claim is marked as settled.
