In this article, you’ll learn how to use a Bulk operation to resend email verification to many members. To achieve this, upload an Excel file with the recipients, select a suitable email template (including the Email verification tag), and then start processing. Members with an invalid email address are automatically excluded.

Fast Lane
- Prepare an Excel file with recipients (max. 50,000 rows, only 1 worksheet).
-
Communication/Templates: Check the email template (must contain
Email verification). - Open Members & Prospects/Members/Bulk operation.
- Click Create Bulk operation > select type Email verification.
- Upload file > select Email template > Create draft.
- Start Process/Execute (max. 1× per day per tenant).
Prerequisites
To use the Bulk operation, you need:
- An Excel file (
.xlsx) with the recipient list (one row per member) and the Member number in the first column - An email template that contains the placeholder/tag
Email verification. - Sufficient permissions to create/manage Bulk operations and manage member messages and/or templates.
Important: This email is considered an operational message and is sent regardless of communication preferences.
Prepare the recipient list as an Excel file
For this Bulk operation, the input is an Excel file only. Selecting recipients via a member list is not possible.
-
File format:
.xlsx - Member number in the first column
- Only one worksheet: If your file contains more than one tab/sheet, it will be rejected.
- Maximum 50,000 recipients: The file may contain up to 50,000 rows (recipients).
When creating the draft, certain members are automatically excluded, for example:
- Members without an email address
- Members with email status INVALID (invalid email)
How to prepare the list?
You can use the option to export a member list out of your software and use it as an input for the bulk operation. We have filters for email status and email confirmation status, so it is pretty easy to create this type of member list, and export lists work in a cross-facility way. This Excel export can directly be used for the bulk operation.
Tip: Clean up your file before uploading (e.g., remove duplicates, delete empty rows) to ensure processing runs as smoothly as possible.
Select or create an email template
When creating the Bulk operation, you must select an email template. You can also use your own template— the key requirement is that it contains the Email verification tag. Only suitable email templates are offered in the selection.
- Open Communication/Templates.
- Open or create an email template for verification.
- Make sure the content includes the placeholder
Email verification. - Save the template and then use it in the Bulk operation.

Create the “Email verification” Bulk operation
- Go to Members & Prospects/Members/Bulk operation.
- Click Create Bulk operation.
- Select Email verification as the type.
- Under Selected members, upload the Excel file (selection via a member list is disabled).
- Under Email template, select the template you want.
- Create a draft.
While the draft is being created, the software validates the file (e.g., row count, number of worksheets) and automatically excludes recipients with invalid email addresses.
What happens after you start?
As soon as you process/execute the Bulk operation, the standard email verification process starts:
- The email confirmation status changes to pending.
- If no confirmation is received, a reminder is automatically sent after 7 days.
The status
No confirmation receivedis set 24 hours after sending the emails, so the next day the users will see it in the member profile. But despite this fact, the member has 14 days to click the link, because the confirmation link is active for 14 days after sending the first email. After two weeks, the link is not valid anymore, and clicking it won’t change anything.
In the Bulk operation details, you typically find information such as:
- File name
- Number of members (based on the rows in the file)
- Template name
- Status (e.g., processing, processed)
- Created on, Created by, and if applicable Location

Limits and common error messages
The following restrictions apply to the “Email verification” Bulk operation:
- Max. 50,000 recipients per file (row limit).
- Only 1 worksheet in the Excel file.
- Only 1 processing run per day per tenant (within 24 hours). In franchise setups, the limit applies per operating company.
- Drafts do not count toward the daily limit—the limit applies when processing/executing.
If a Bulk operation of this type with status Processing or Processed already exists today, you can’t start another processing run. You’ll see a message that the operation can only be processed the next day.
Common reasons an upload is rejected:
- The file has more than 50,000 recipient rows.
- The file contains multiple worksheets.
- The selected template does not contain the required
Email verificationtag (or is therefore not offered in the selection).
