Fast lane
- Open a member's profile.
- Open the “Notes” widget.
- Click “Add note”, write your text, choose a note type and save.

Your members should feel comfortable and optimally looked after. You are immediately one step closer to this goal if your team can quickly view important information.
Here are some examples of such information:
- The member does not like to be addressed by their first name.
- Anna likes the strawberry shake best.
- Hans gets free drinks.
- The member has paid a €10 card deposit.
These useful notes are collected in the member's profile, in the “Notes” widget.
Above the note list, you'll find icons for each note type (“Info”, “Warning”, “Critical” and, if you have the required permission, “Confidential”). Click an icon to hide that note type from the list; click it again to show it. If your filters hide every note, the widget tells you so instead of showing an empty list.
Creating notes
Click “Add note” at the bottom of the “Notes” widget to open the note dialog.
In the dialog:
- Write the corresponding information in the text field.
- Select the note's “Type of note”: “Info”, “Warning”, “Critical” or “Confidential”.
“Confidential” notes can be restricted in access and visibility via a dedicated right in the roles and are therefore only available to the group of users who have this right. Users without this right can neither see, create, nor edit these notes, and the “Confidential” option does not even appear in their dropdown. - Click “Save”.
Note: the note's type can only be set when it is created. It cannot be changed afterwards: the “Type of note” dropdown no longer reacts to clicks once the note exists, even though it is not visually greyed out. If you picked the wrong type, delete the note and create it again.
All created notes are listed above the input field. You will find the most recent notes at the top.
A note has the following elements:
- The text of the note
- The author of the note
- The date the note was created (or last edited)
- The type icon
Editing notes
Open the context menu of a note to edit or delete it.
Select “Edit note” to open the same dialog used for creating a note, with the existing text filled in. You can change the text, but not the note's type. After saving, the author and the date are updated: the date no longer shows when the note was created, but when it was last changed.
Select “Delete note” to remove it. A dialog asks “Do you really want to delete [note text]?” Confirm with “Delete” or back out with “Cancel”. The note is permanently deleted only after you confirm.
Notes at check-in
Already at check-in, you can see whether notes are stored for the member.
