What are member codes?
Member codes are authorization markers you assign to members to control access to services (e.g. drinks, solarium, wellness) or to specific areas (e.g. entry doors). A member can have multiple codes; you manage codes centrally and assign them as needed.
Difference: Status vs. Assignment
Status (active/inactive)
- Active: The code is valid system-wide (can be used for services/access) and can be assigned.
- Inactive: The code is deactivated system-wide – it no longer works for access/services. Already assigned codes remain visible at the member but no longer take effect.
Activate member code assignment (checkbox)
- Enabled (on): The code can be newly assigned to members.
- Disabled (off): Existing assignments remain valid, but no new assignment is possible. The code no longer appears in the assignment dialog.
Important: If a code should continue to work for services/access, do not set it to inactive. Keep the status active and instead disable Activate member code assignment.
Creating and editing member codes
- Go to Settings/Member codes.
- Create a new code or open an existing one for editing.
- Set the Status: active (usable) or inactive (disabled).
- Optional: adjust the Activate member code assignment toggle as required.
- Save.
Note: By default, Activate member code assignment is enabled for all codes (including inactive ones). Review your existing codes once and switch off assignment for those that should not be selectable anymore.
Typical scenarios (recommendations)
“Still usable, but no new assignments”
- Status: active
- Activate member code assignment: off
- Effect: Existing members keep using the code; staff cannot assign it to new members.
“Completely deactivate” (no usage at all)
- Status: inactive
- Activate member code assignment: any
- Effect: The code no longer works for services/access; it should not be assigned anymore.
“Re-enable” (assignable again)
- Status: active
- Activate member code assignment: on
- Effect: The code is valid and can be newly assigned again.
Frequently asked questions & notes

A member has the code, but services don’t work?
Check the Status: If it’s inactive, the code has no effect (even if assigned). Reactivate the code or assign a valid one. -
I want to prevent further assignments of an expiring code without disrupting current use.
Keep the code active and switch Activate member code assignment to off. -
The code still appears in the dropdown, even though it shouldn’t be assignable.
Disable Activate member code assignment. The code will disappear from the assignment dialog. -
Is there a bulk change option?
No automatic migration is available. Review and update affected codes manually (tip: start with inactive codes and those that should no longer be assigned). -
Rate codes?
This article only covers member codes. Rate code behavior is explained separately.
Deleting codes and effects
If you delete member codes, they are permanently removed and no longer assigned to members. Only use deletion if a code is no longer needed at all. In most cases, adjust the Status and/or Activate member code assignment setting instead.
