In this article you will learn: how to manage your membership offers with the offer configuration.
Quick guide to the administration:
-
Settings / Membership signing / Offer configuration
-
Edit settings for your sales tool
What are the benefits of this management?
Your contract offers form the basis for the sales tool and are also your basis for a successful online contract conclusion. We will show you the offer configuration, which allows you to bundle your contract offers as if you were creating an offer flyer.
Permissions: managing offer configurations requires the Manage membership offer groups permission, found under Settings / Membership signing in a role's permission list. Planning a configuration for a limited time period or for specific facilities additionally requires the Manage offer configuration planning permission, in the same category.
Where can I find the offer configuration?
Under Settings / Membership signing / Offer Configuration you will find two activated standard configurations - one for all offers to be displayed in the sales tool, the other for the online contract conclusion via MySports. You can also create additional offer configurations beyond these two defaults, for example to plan a time-limited configuration for a specific facility (see below).
What can I set in the offer configuration?
Clicking on a line will take you to the corresponding detailed view, where you can add as many of your contract offers as you want to the configuration. Adding is the same as making your offers visible for the respective channel.
Within the configuration, the order of the contract offers can be varied, i.e. you determine which offers should appear first in the sales tool.
When creating a new contract offer, you will also be asked if you want to add the new offer directly to the active configuration. This saves you having to add new offers to the configuration afterwards.
Each facility a configuration is shared with can be given its own access level (write, read-only, or none) under the configuration's sharing settings, and saving a cross-facility change is confirmed explicitly before it takes effect.
Planning time-limited and facility-specific offer configurations
Beyond the two standard configurations, you can plan additional offer configurations that only apply for a defined period and for a chosen set of facilities. This lets you, for example, prepare a promotional configuration in advance and let the software switch it on and off automatically.
Planning lives on its own settings page, separate from the offer configuration list: go to Settings / Membership signing / Configuration planning. The list shows each planned entry's name, time period, follow-up configuration, channel, and facilities.
Click Create configuration planning to schedule an existing offer configuration. You'll need to provide:
- The channel and the offer configuration to schedule
- Start and end date for the planned period
- A follow-up configuration that takes over once this one ends -- exactly one configuration must always be active per channel, so this field is mandatory
- The facilities this planning applies to
A few rules apply when planning a configuration:
- A planned configuration cannot start in the past for a facility.
- Two planned configurations cannot overlap for the same period; if they do, the software asks you to adjust the planned period or the facility whitelisting of one of the configurations.
- A configuration cannot be activated while another planned configuration is already active and would conflict with it; adjust the planned period or the facility whitelisting to resolve this.
- Once a configuration is no longer modifiable for a facility, its planning cannot be changed for that facility anymore.
- All contract offers you add to a planning must be whitelisted for the same facilities as the planning itself, otherwise the configuration cannot be created.
