Quick Guide
- Go to Settings / Membership management / Rates.
- Click New rate in the upper right corner.
- Fill in the fields in the dialog and click Create.
Prerequisites
Your role needs the permission Configure rates (category Settings, subcategory Membership management).
Create a new rate
After you have created the general information of a rate, you can add one or more terms and define several payment methods for each term. You can then assign the rate when you create a member or later in the data of an existing member.
Go to Settings / Membership management / Rates and click New rate in the upper right corner.
The New rate dialog opens. Fill in the following fields:
- Rate name: the internal name of the rate, e.g. "Basic Paris 1". It only helps you tell your rates apart.
- Public rate name: the name your members see, e.g. "Basic". If several content languages are enabled, you can enter it for each language.
- Membership contract: the contract document that belongs to the rate. Choose a document or create your own under Settings / Membership management / Contract documents. The document is shown when a membership with this rate is signed. With Add override you can select a different contract document for specific facilities.
- Rate code: rate codes help you organise your rates. Create rate codes with a unique name and description and assign them to your rates, e.g. "Association rate" or "Trial membership".
- Campaign: links the rate to a marketing campaign. Members who sign up with this rate are attributed to this campaign.
- Freeze period effect: choose whether the fee is reduced proportionally during a freeze period (Fee adjustment) or remains due in full (No fee adjustment). If you choose No fee adjustment, members cannot create freeze periods via Self-Service.
- Color: optional. The color is shown in the rate overview and helps you tell rates apart at a glance.
Advanced settings
Click Advanced Settings in the dialog to show further fields:
-
Pre-use: defines whether a member may train before the official contract start.
- None: members may not train before the contract starts.
- For a fee: members may train before the contract starts and pay a pro rata fee. Example: the contract starts on 1 October and the member trains from 15 September, so they pay an additional half month's fee.
- At no fee: members may train before the contract starts at no cost.
- Allow reference date payment frequency at the end of the month: allows the default due date to fall on the 29th, 30th or 31st of a month. For fees during freeze periods you choose whether they are calculated in full or pro rata.
- Tax rate: the tax rate for this rate.
- Booking codes: optional booking codes for the rate.
- Payment run group: assign a payment run group if all contracts with this rate should be processed in a specific payment run.
Click Create to save the rate.
Check a rate
Go to Settings / Membership management / Rates and select the rate you want to check. The detail view opens.
Deactivate, activate or delete a rate
Open the three dot menu of the rate in the overview:
- Deactivate rate deactivates an active rate.
- Activate rate reactivates a deactivated rate.
- Delete rate deletes the rate. You can only delete a rate that is no longer in use: it must not have active memberships and must not be used in an offer, a contract voucher or a rate restriction of a voucher.
By default, the overview shows only active rates, because the Status column is filtered to Active. Change this filter to see deactivated rates as well.
