In this article, we’ll show you how to create tariffs and what settings you can make regarding tariff codes, campaigns, and pre-contractual usage.
Create a Tariff
Since contracts in Magicline are based on tariffs, it’s important to configure them in order to conclude contracts.
To do so, go to Settings in the main menu. Under the Contract Management tab, you'll find all relevant functions.
Here you can store and manage all tariffs that have a fixed term.
Click on “New Tariff” at the top right or use the three-dot menu of an existing tariff.
To see how to proceed and set up all the tariff options, check out this video on basic tariff settings.
For payment options, you can set the due date for charges based on various references:
- Time period: e.g. every 1 month. The amount is due monthly.
- Reference date (relative), e.g. after 10 days. The amount is due in 10 days.
- Reference date (absolute), e.g. every January 15th. The amount is due on the 15th of January each year.
Once you have entered the general information for the tariff, you can define one or multiple contract durations, each with multiple payment options.
Customers choosing the “Small” tariff, for example, can decide whether to sign up for 6, 12, or 24 months. They can also choose to pay biweekly, monthly, or semi-annually.
If you select a tariff from the list, you can view and adjust its settings.
Important: If you change an existing tariff that is already in use, your changes will only apply to future contracts. No retroactive changes will be made to existing contracts!
Tariff Codes
Tariff codes help you organize your tariff portfolio. Create codes with unique names and descriptions and assign them to your tariffs. Use meaningful names like “Association Tariff” or “Trial Membership”.
Campaign
In this field, you can link your tariff to a marketing campaign. Members who subscribe to this tariff are marked as generated by this marketing campaign.
Pre-contractual Usage
Here you can determine whether and how the tariff can be used before the contract officially starts. The options are:
-
None: Members are not allowed to train before the contract starts.
-
Paid: Members are allowed to train before the contract starts, but must pay a proportional fee. For example, if a contract starts on 01.10, and the member begins training on 15.09, they must pay half of the monthly fee in advance.
-
Free of charge: Members are allowed to train before the contract starts without paying any additional fees.
Configuration Options
Membership Extension
You have three options here:
- No extension: The contract ends after the initial term.
- Contract extension: The contract is extended by the duration specified in the row below.
- Tariff change: After the contract ends, the tariff changes automatically—used for promo tariffs that convert into regular tariffs afterward.
Cancellation Period
Specify the notice period required for your customers to cancel their contract in advance.
Pause Configuration
Here you can define the length of time the tariff can be paused. By default, only “Standard” appears, which means unlimited pause time.
Remind Members of Contract Renewal
In some countries, it is mandatory to inform members about upcoming automatic renewals. By activating this checkbox, you can define how far in advance Magicline should automatically notify members via email.
Starter Package
Enter the fee for the starter package. When signing the contract, the member must pay this sign-up fee in addition to the prorated monthly payment.
Replacement Card Configuration
This field is optional. Configure what happens when members lose their access cards. Set how many replacements are allowed and how much each costs.
Usage Volume
For studios with an access control system only. This setting allows you to limit room access based on tariff by selecting “limited quantity”.
Usage Duration
Also for studios with access control. Choose the type of access allowed by this tariff:
- One-time use
- Fixed time slot
- Full-day access
