What is the group configuration
To assign your members to a group, the first step is to create a group configuration. When creating a configuration, you can set the following settings for a group:
-
Group configuration name
-
Maximum size of the group
-
Discount scale for members in a group
-
Tariff release
The name of your configuration can be used later when creating groups to distinguish different configurations and to name them e.g. by size or discount scale of the group.
Groups can not only have an unlimited number of members, but also a maximum number of group members. This will help you in the later control of a possible discount scale for group members, the tariff release will also help you that only discounts on tariffs released by you can be applied.
Creating a group configuration
Under Settings > Member Management > Groups you can create a configuration.
Give your group configuration a name, set the maximum number of members - or select that groups of this configuration may have an unlimited number of members - and select that discounts may be applied if needed.
Applying partial discounts in the current performance period, allows you to apply discounts to members directly, resulting in partial discounts in the current performance period.
The discount type can be further differentiated into absolute or percentage, in which case the recurring membership fee is reduced by the value you specify.
The member scale also allows you to assign a discount for a certain number of members (with an active released contract).
In the following example, the 5 group members with an active (and approved) contract would receive a discount of 2.00 € on their membership fee. If the group is full with 10 members and one active (and released contract), all members will receive a discount of 5,00 € on their membership fee.
After creating the group configuration you will get an overview of your settings
Tariff release for group configurations
As a new level we have added a tariff release. In certain constellations you may not want a group discount to be applied to all your tariffs, so you can define in this tariff release for which tariffs the discounts may be applied.
You get the possibility to select certain tariffs, including their durations and payment methods.
To use the tariff sharing, go to your group configuration Settings > Member management > Groups and select your configuration.
In the "Rate Sharing" tab, you can now select from your rates and share which rates should be discounted from your discount scale. This helps you to control that only certain tariffs can be discounted.
Only members with an active contract, which is specified in this tariff release, count towards the discount scale of the group.
Other group members will be added to the group, but will later be displayed as "inactive" in the group. (More about this in 5. Then click on Create group).
You can enable as many tariffs as you like - or all tariffs - for your group configuration, only the tariffs specified here will then count towards the discount scale you have specified.
Initially all tariffs are released for a configuration, you can edit this configuration via the 3-point menu.
In this example, only members with an active contract 0_Simon Test, the term of 12 months and the payment method of 33.00 € per month will receive a discount of the scale specified above, if they are members of a group of this group configuration.
Create a group with members
To use your created group configuration now, navigate to "Members > Groups".
A member can only be assigned to one group at a time.
In this menu you can use "Create Group" to create a member group, select a configuration and add members.
In the next step, enter a name for your group and select the desired configuration.
In the next step you can select the members and add them to the group. If you have selected all members, you can select the start date of the members and their group membership in the next step. This is needed to determine from which date a possible discount will be applied to the members.
Group with additional discount
In the last and final step you have the option to give the group an additional discount. This additional discount will be applied to all members of the group, regardless of the number of members or possible approved rates.
This additional discount can be used, for example, to map discounts for members of a sports club.
For example, you can create a group that has an unlimited number of members and offers each member of the group a discount of 2.00 € on their contract - in this case, you do not need to set a discount scale for members, but you can be sure that each member of the group will always receive the discount of 2.00 €.
At the end you will see your created group:(*The group code in this example:CG2Q-WHHS)
In the header of the group you will find the following information:
-
Group code: Using this code, members can be easily and quickly added to the desired group.
-
Additional discount: If an additional discount is given, this information will be displayed here.
-
Group configuration: The configuration on which this group is based. This field also serves as a direct link to the configuration.
In the members overview you will find the two lines active & inactive , where your group members are sorted.
Active members of a group actively belong to the discount scale of the group, so their assignment to the group will affect the discount they receive
Inactive members of a group, although assigned to the group, do not count to the discount scale of the group. This can be, among other things, if they no longer have an active contract, or if the contract assigned to them is not released for the discount in the configuration (see Rate Release for Group Configurations).
Furthermore, in the member list there is a display about the current discount on a certain date. This field can be used to display the state of the group at a certain date.
To do this, select the desired date on which you want to view the group. The member overview and the associated discount will adjust to the selected date and you will get a representation on that very date.
Member overview - Groups widget
In the member overview you get the possibility to view the group information of a member via a widget.
Here you can see information about the group, the group code, the current discount, the additional discount, as well as the members that are in this group.
The name of the group also works as a link here, so you can access the group directly.
Using the 3-dot menu you can either add members to a group or remove them from a group.
Add member to a group via the widget
When adding members to a group, a start date can be assigned, this allows you to schedule a member's group assignment.
(*The group code in this example:CG2Q-WHHS)
If you want to add a member to a group via the widget, open the 3-dot menu and select: Add to a group.
In the modal that appears, you have the option to search for a group by group name, search for groups of other members, or use the group code to select the unique group.
In the following example we searched for "Duck" , since there is no group with the name Duck, but three members with the name Duck, the groups of these members are displayed.
In the following example, a search was made for Timo, since there is a group with the name Timo and also a member with the name become, the following information is displayed.
In the upper part of the search you will find groups that contain the name "Timo". In the field displayed below, the groups of members with the name "Timo" are displayed.
You get the possibility to search groups and also the groups of members at the same time by this search.
Terminating a group membership
To end a group membership, it is possible to set a date on which a member will be removed from the group. With the expiration of this date, the member is no longer part of the groups.
Undo group assignment. |
If a member's contract expires and this same contract is enabled for the discount in the group configuration, the member will be considered inactive after the contract expires. This also affects the discount for the group.
