- Go to Settings / Services / Usage configuration.
- Click Create usage configuration, name the rule, and select the locations it applies to.
- Open Edit restrictions and set the intervals (Hour, Day, Week, Month, Year) you need, plus any options under Further options.
- On the service, open Edit Information and assign the usage configuration.
Create and Adjust Usage Configurations for Your Services
Usage configurations let you define how often a service (e.g., a solarium) can be used within a certain period, independent of any existing quotas.
You need the permission "Manage service usage configuration" to create, edit, and delete usage configurations.
To create a new usage configuration, go to Settings / Services / Usage configuration. Then click Create usage configuration and name the restriction rule you want to apply. You can also specify the locations for which this usage configuration should be available (the locations button in the upper right corner).
Restrictions for Usage Configurations
Open the usage configuration, then use the three-dot menu at the top right of the Restrictions section (or the option at the bottom of the section) to click Edit restrictions. Add a row for each interval you need, choose the time unit from the dropdown, then set the number using the arrows. The available intervals are:
- Hour: a rolling interval, e.g. "once per 24 hours" checks whether the member has already used the service within the 24 hours before or after the booking. It appears first in the time-unit dropdown, alongside Day, Week, Month, and Year.
- Day
- Week
- Month
- Year
Day, Week, Month, and Year intervals are calendar-based (e.g., "once a day" starts at 0:00 and ends the same day at 23:59:59); the Hour interval works differently, as a rolling time window.
For example, according to the Radiation Ordinance (German law for solarium use), the following restrictions apply:
- 1x per day
- 3 times a week
- 10x per month
- 50x per year
These restrictions are independent of the existing quotas. Under Further options ("Edit more options"), two settings can each be switched from Deactivated to Activated via a dropdown:
- Overall group of services: checks the usage restriction across all services that share this usage configuration, e.g. one use per month for service A or service B combined, rather than counting each service separately. Deactivated by default.
- Cross facility check: counts usages across all locations instead of per location, so a member cannot use up the allowance at Studio A and then use it again at Studio B. Deactivated by default.
Add a Usage Configuration to a Service
Now you can assign the usage configuration to existing services. Go to Services and click on the relevant service. You can then add the usage configuration via Edit Information.
A usage configuration can be assigned to any number of services. When creating a new service, you can add the usage configuration during the creation process as well.
