In this article you will learn how to extend an existing class series for a new period, with the settings of the current series already filled in.
Contents
Quick Guide
- Open Classes / Class scheduling / Class schedule and switch to the list view.
- Open the three-dot menu (⋮) of an appointment of the series and select Extend course series.
- Check the prefilled values in the Scheduling dialog and click Next.
- Check the start, the period and the start times, then create the appointments.
Prerequisites
If you can't find an area in the sidebar on the left, click the last entry there, More. Use Customize navigation to choose which areas appear directly in the sidebar.
- Permission: Manage classes with the access level Create. You assign permissions under Resources / Employees / Roles.
- The appointment belongs to a recurring series and is not cancelled.
What is taken over
When you extend a series, the software opens the Scheduling dialog with the values of the existing series. The new period starts on the day after the last day of the existing series and runs for the same number of weeks.
| Field in the dialog | Prefilled value |
|---|---|
| Class | The class of the existing series. |
| Instructor and Room | The instructors and rooms of the existing series. |
| Number of participants, Waiting list count, planned participants (statistic only) | The participant settings of the existing series. |
| Appointment execution | Digital stream including the stream type, if the existing series is streamed. |
| Start of the appointment series | The day after the last day of the existing series. |
| Period of the appointment series | The same number of weeks as the existing series. |
| Remind participants | Switched on with the same lead time, if the appointment you clicked has a reminder. |
| Start times per weekday | The weekdays and start times of the existing series. |
If you scheduled the class on several weekdays with the same start and end date (for example Monday and Wednesday), all of these weekdays are taken over, each with its own start time, instructors and rooms. If one weekday occurs more than once in these series (for example two appointments on Monday), only the series of the appointment you clicked is taken over.
Extend a class series
- Open Classes / Class scheduling / Class schedule.
- Switch to the list view.
- Find an appointment of the series you want to extend. Any appointment of the series works, the new period always starts after the end of the series.
- Open the three-dot menu (⋮) of the appointment and select Extend course series.
- The Scheduling dialog opens with the values of the existing series. Check the class, Instructor, Room, the participant settings and Appointment execution, change them if needed and click Next. If booking aggregators are active in your studio, the participant settings appear in a separate step.
- In the last step, check Start of the appointment series, Period of the appointment series and the start times per weekday. Change them if needed. The preview below lists every new appointment and shows a message if an instructor or room is not available.
- Click the create button. It shows the number of new appointments, for example Create 12 Appointments.
The new appointments appear in the class schedule. The existing series stays unchanged.
Things to note
- The menu entry is not available for cancelled appointments or without the permission listed under Prerequisites.
- If the appointment is a single appointment and not part of a series, the software shows the message This appointment is not part of a recurring series and cannot be extended. In that case, schedule new dates with Schedule class instead.
- If you have already extended a series, open the menu on an appointment of the new series for the next extension. An appointment of the original series always starts the new period right after the original end date, so you would schedule the same period twice.
- The period of a series can be at most 52 weeks.
