Prerequisites
This feature is available to Enterprise customers (Framework). All other customers only see a configuration view with a single configuration that contains only the internal, external, and deviating opening hours. This configuration cannot be edited or deleted, and no custom categories can be created.
To manage opening hours categories and configurations, you need the corresponding permissions. There are two separate permissions:
Configure opening hours categories: allows you to create, read, edit, and delete categories.
Configure opening hours configurations: allows you to create, read, edit, activate, and delete configurations, as well as add, edit, and remove categories within a configuration.
To share a category with a configuration, you need at least the "Create" or "Edit" permission for both. To activate a configuration, you need at least "Create" and "Edit" for both.
The standard roles have the following permissions:
- Admin: Full access (create, read, edit, delete) for both permissions.
- Office: Create and read for both permissions.
- Counter / Read-only: Read-only for both permissions.
The existing permissions for internal and external opening hours remain, as they cover additional settings. Only the portion related to opening hours has been moved to the new permissions.
Creating and Managing Opening Hours Categories
With opening hours categories, you define specific time windows that can be applied to various contracts, modules, and services. These categories are bundled within an opening hours configuration, enabling targeted use across multiple studios.
You can find categories under Settings / Opening Hours / Categories. The view displays all categories as list entries. Each entry includes the category name and a marker showing the number of studios where the category is enabled.
Use the location selection above the list to filter the display by location.
To create a new category:
- Click Create Category.
- In the dialog, select the location(s) for which the category should apply.
- Enter a name.
- Select a color.
- Click Save.
The category is created and is immediately available for the selected locations.
Editing and Deleting Categories
Each category has a context menu with the options Edit, Share, and Delete.
Editing:
- Open the context menu of the desired category and select Edit.
- You can change the name, color, and enabled locations.
- Click Save.
Deleting:
- Open the context menu and select Delete.
- If the category is used in active configurations, a notification appears: "Category XYZ is currently used in N active configurations and therefore cannot be deleted." Remove the category from the active configurations first.
- If the category is not used in active configurations, confirm the deletion in the dialog.
Note: A deleted category is archived and not permanently removed.
Sharing a Category with Active Configurations
You can share a category with the active configurations of selected locations. This automatically adds the category to the active configurations of those locations.
- Open the context menu of the category and select Share.
- In the first step, you are asked: "Do you want to share this category with your active configurations?" Select the locations where the category should become part of the active configurations.
- In the second step, you can optionally store opening hours for the shared category. These then apply to all active configurations of all locations where the category is available. The opening hours can subsequently be adjusted individually within the respective configuration.
- If you do not set any opening hours, the public opening hours are used.
- Click Share.
The category is added to the active configurations of the chosen locations. Without stored opening hours, the category initially appears there in an empty state.
Creating Opening Hours Configurations
Opening hours configurations help you bundle your opening hours and manage them even more easily across several studios. You can find them under Settings / Opening Hours / Configurations.
The configuration overview is a list view. Each entry shows the name, color, active/inactive status, a location marker, and a context menu.
To create a new configuration:
- Click Create Configuration.
- Select the location(s).
- Enter a name.
- Select a color.
- Click Save.
Every new configuration contains the categories Internal and External by default. You can add further categories in the detail view.
Note: At least one active configuration must exist per location. An active configuration cannot be deleted.
Activating a Configuration
- Open the context menu of an inactive configuration and select Manage Activation.
- Select all locations where the configuration should be activated.
- Click Save.
The context menu shows Manage Activation and Delete only for inactive configurations. Active configurations can only be edited via the context menu.
Note: A deleted configuration is archived and not permanently removed.
Editing Opening Hours within a Configuration
Click a configuration in the configuration overview to open the detail view. In the toolbar, you see the configuration name, the active/inactive status, and the location marker.
The detail view has two tabs: Opening Hours and Categories. The Opening Hours tab is open by default.
"Opening Hours" tab:
Here you find widgets for the internal and external opening hours, as well as all deviating opening hours. Deviating opening hours apply per configuration and can be activated for every opening hours category.
To edit the opening hours of the internal or external category, click Edit in the respective widget. A dialog opens where you can adjust the opening hours exclusively.
Managing Categories within a Configuration
"Categories" tab:
In this tab, all opening hours categories are displayed as widgets, sorted alphabetically. Each widget shows the category name, color, configured opening hours, and an indicator of whether the category uses the default opening hours or individually adjusted times.
Edit category: Via the widget's context menu, you can adjust the opening hours of the category within this specific configuration. Name and color are changed centrally in the category management.
Remove category: Via the context menu, you can remove a category from the configuration. This only deletes the opening hours of that category within the configuration. The widget remains, and the category itself is not deleted.
No opening hours configured: If no specific opening hours are stored for a category, the following note appears: "You have not yet configured opening hours for this category. Currently, public opening hours are being used." Click Add Opening Hours to set individual times.
Using Categories as Restrictions
Opening hours categories can be used as restrictions for price plans and services. Two types are available in the restriction dialog:
- Time Restriction: the existing restriction based on weekdays and times (default selection when opening the dialog).
- Opening Hours Category: select one of the categories available at the location from a selection list.
Important: A price plan or service can have either one category or several time restrictions. A combination of both is not possible. If you want to switch from a time restriction to a category or vice versa, you must first delete the existing restriction.
The display of the category in the restriction dialog shows the weekdays and the respective time window. If no opening hours are stored for a specific day, "not available" appears.
