Quick Guide
- Open the class schedule: Class scheduling / Class schedule.
- Plan a new series: click Schedule class, select a Category and a Class, enter the details and create the series of dates.
- Change one single date: click the date in the class schedule, open the Administration tab, adjust the values and confirm with Save changes. This affects only that one date.
- Change the whole series: open Administration / Classes, click the class name, open the three-dot menu (⋮) at the top right of the page, select Edit Information, adjust the values and confirm with Save cross facility. This affects every date of the class.
Requirements and Preparation
To plan classes without conflicts, you should properly configure your resources in advance (e.g. staff/trainers, locations/rooms, equipment). This will help you avoid overlaps in room or trainer bookings and prevent scheduling conflicts.
You need the appropriate access rights to create and edit classes in the class schedule.
Check Class Schedule
You can find the class schedule in the main menu under Class scheduling / Class schedule. There you will see all scheduled class dates and can quickly recognize if there are capacity or resource conflicts.
Tip: In the top right, you can switch between calendar view and list view using the two icon-only toggle buttons. The calendar view always shows a fixed Monday-to-Sunday week grid.
In the calendar, you can show or hide cancelled dates and classes using the status filter.
Schedule New Class Dates
How to schedule a new class in the class schedule:
- Open Class scheduling / Class schedule.
- Click on Schedule class to open the Scheduling dialog.
- Select a Category, then a Class from the dropdown below it, and enter the most important details for your class.
On this page, you specify the Category, Class, Instructor and Room, all on the same screen. This helps to avoid conflicts if rooms or trainers are already booked. The Number of participants is one of the details you enter in this dialog.
Tip: If you want to stream your class, you can configure this in the Appointment execution dropdown.
In the next step, you create the specific dates (series of dates). The following settings are typically available:
- Start of the series: When should the class start?
- Duration of the series: How many weeks will the class run?
- Weekly schedule: On which days and at what times will the class take place?
Number of Participants: Single Date or Whole Series
There are two separate places for the participant values, and they have different effects. Choose the place by the scope of your change:
| Single class date | Class (whole series) | |
|---|---|---|
| Where | Class scheduling / Class schedule, click the date, tab Administration | Administration / Classes, click the class name, three-dot menu (⋮) at the top right of the page, Edit Information |
| Effect | Only the date you opened | Every date of the class, and the default for every future series you schedule from this class |
| Save with | Save changes | Save cross facility |
Important: the three-dot menu (⋮) you reach from a date in the class schedule is meant for cancelling and deleting that appointment or the series. It is not the place where you change the basic information or the participant values.
Edit a Single Class Date
You can edit existing class dates directly in the class schedule:
- Open Class scheduling / Class schedule.
- Click on the class date you want to edit.
- In the side panel on the right, switch to the Administration tab.
- Adjust the values you need, for example Class name, From and Until, Instructor (you can also use Add Stand-In), Room, Number of participants, Waiting list count or planned participants (statistic only).
- Confirm the changes with Save changes.
Values you change here apply to this one class date only. All other dates of the same class keep their own values, so different dates of one series can carry different participant numbers.
Edit a Class and Its Whole Series
If your change should apply to every date of a class, edit the class itself instead of a single date:
- Open Administration / Classes.
- Click the name of the class. This opens the detail page of that class.
- Open the three-dot menu (⋮) at the top right of the page, next to the badge showing the number of facilities.
- Select Edit Information. The dialog Edit class information opens.
- Adjust the values you need, for example Class name, Abbreviation, Appointment length, Category, Target group, Description, Booking options, Usage configuration, Number of participants, Waiting list count and planned participants (statistic only).
- Confirm with Save cross facility.
A change here applies to the whole series. It also becomes the new default for every future series you schedule from this class, until you change it here again.
Please note: in the class list, the three-dot menu (⋮) in the row of a class only offers Delete, which removes the whole class. To edit a class, click its name and use the three-dot menu (⋮) at the top right of the detail page.
Cancel a Class Date
If you want to cancel a scheduled class date instead of editing it:
- Open Class scheduling / Class schedule.
- Click the class date. The side panel opens with the tabs Administration, Participants and History.
- Click the red Cancel Class button.
- A confirmation dialog asks whether you really want to cancel this class date. Confirm with Cancel Class.
This cancels only the selected class date.
