Create an appointment service
From the main menu go to Settings and in the submenu on Services . In the Services submenu, go to Services .
Click on the "Create service" button in the upper right corner . A new window appears with the different categories of services. In this window you select the appointment services and confirm your selection with "Next".
A new window will appear in which you must fill in the fields that describe the service. You can also choose whether this service should be free or not. Decide whether or not to allow online bookings for this service by checking the "Online Booking Allowed" box, if applicable. Finally, click on Save.
Create included contigent for this service
After creating your appointment service, you can select your service. This opens a detailed view of the service.
There you will find a tile "included contingents for members". You can add an inclusive contingent via the three-point menu or the button at the bottom of the tile.
In the new window you can determine whether your service is offered as a flat rate or whether a usage limit is linked to the inclusive contingent. If there is a limit, set the number of times that benefit can be used under the plan/code or add-on to be assigned.
Also indicate for which rates/codes or additional modules this service is included as a contingent. At the end you click on Save.
Create a ticket offer for this service
If you want to sell this appointment service yourself, you can create a ticket offer.
To do this, click on the three-dot menu of the "Ticket offers" tile and select "Add Card Offer". You can also select the "Add ticket offer" button at the bottom of the tile. Fill in the fields in the window.
You can specify whether this service should only be available once (single use) per day, several times (all day) per day or only during a certain period of time. You can also specify whether this service should be available indefinitely or only during a certain period of time.
Specify required resources and appointment lengths
Under the "Appointment Booking" tile, you can click the three-dot menu and then select "Edit Appointment Booking" to edit the duration of the appointment, separated by "Prep Time ", "appointment time" and "follow-up time". The total time of all three components is blocked in your calendar for an appointment.
If you click the three-dot menu and then click "Edit Appointment Execution", you can choose between "In Studio" or "Digital Stream" as the execution location.
If you select "Add resource" from the three-dot menu, you can add:
- a device
- an employee or
- a location
which must be available to make/book the appointment.
After choosing the type of resource, add the actual resource needed for the appointment. For an employee, this can be a specific trainer, or just someone with the trainer competency. This option can be chosen if it does not matter which specific trainer is present for the appointment. If the required employee is not available, the system will display the appointment as not bookable at this time. The same logic applies to devices and device categories.
Create device connection
By clicking on the three-dot menu in the device connection tile, you can define what should happen when a person tries to book the service directly on the device (e.g. by holding a transponder in front of a turnstile). Here you can set a price and payment options.
Create Restrictions
In the "Restrictions" tile you can set restrictions for this service, for example in which studios this service is offered and whether there is a minimum age for this service.
Set booking and reversal conditions
- Appointment reminders: In the "Booking and cancellation conditions" tile you can click on the three-point symbol and then on "Edit appointment reminder" click if you want to configure when you want people to receive appointment reminders (if the email app and associated notification rule is enabled). You have the option of individually setting how many hours before the appointment the reminder should be sent.
- Booking Options: The tile's three-dot menu gives you the option to select "Edit Booking Conditions" if you want to set how in advance or when the last dates can be booked. You can set these times individually by filling in the appropriate fields in the window.
- Reversal options: You can also use the three-point menu of the tile to select "Change reversal conditions" if you want to set the deadline for canceling an appointment free of charge. This deadline can be set individually by filling in the appropriate field in the window. It can also be determined whether a member can still cancel the appointment after the deadline and is reimbursed a smaller portion of the service price or whether cancellation is no longer possible after the deadline has expired.
Create an online offer for this service
Under the "Online booking" tab, you can set how the appointment services are offered for sale online. You can add images and descriptions and set a different price for online purchases.
